2018 Council Mega Drop!

Hello Everyone!

I can not believe that Mega Drop is here! We wanted to share a few reminders and key pieces of info for everyone that is participating in the main Mega Drop.

How do I know if I am at the main Mega Drop or I do not remember what delivery station I chose?

  •  You can check your Delivery Station location by clicking on the “Delivery” tab in eBudde and looking for the location listed in the greyed-out drop down (see below). There is also a purple button that says, “View Confirmation.” If you click this button it will pop up a flyer that tells you what delivery station you chose, what time your pick up is, an overview of your order, and suggested vehicles for pick-up. You should print this page and bring it with you to pick up your cookies!

If I have an order that needs more then one car, do we all need to arrive at the same time?

  • Yes! If you are bringing multiple cars you will all need to arrive together. Troops can not pick up a portion of their order and come back for the rest.

What if I do not bring a vehicle large enough for all of my cookies?

  • Our check-in staff will evaluate your order size against the vehicle(s) you bring. If we feel that there is not enough room for your order, we will ask you to leave the line and return that day when you have enough vehicles for the entire order. To avoid confusion and inventory mistakes, partial orders will not be filled and all cookies must be picked up at once. If you do not know how many vehicles you’ll need for your order, please see page 20 in the Troop Cookie Manual.

Can we specify which cookies go in which car?

  • We load the cookies by flavor and fill up one car completely before moving to the next car in your group. If you need to divide the cookies up between cars you will need to do that off-site, after you have checked out.

Can I get out of my car and help load cookies?

  • For your safety and the safety of our warehouse staff, you must remain in your car at all times. There will be a lot of machinery and activity that day and we want everyone to get their cookies without harm.

What do I need to bring to Mega Drop?

  • When you log into eBudde click the “Delivery” tab. There will be a purple button that say “View Confirmation” if you click this button it will pop up a flyer. This flyer gives you an overview of what your troop order is by flavor. You will want to bring this with you to verify against Delivery Ticket.
  • You MUST bring your Drivers License with you!
  • You need to bring an EMPTY vehicle. Please take care to remove all trash, items, carseats, and passengers from your car before arriving. Our warehouse staff will fill each car to it’s absolute max, so ensuring the vehicle is empty will keep everyone on schedule and safe.

If I have questions at the Mega Drop who will be there to help?

  • We will have multiple Council staff members including the Leadership Team, Product Sales, and representatives from the different departments.
  • One staff member or volunteer will be assigned to each vehicle to walk next to your car(s) and count the cookies out loud as they are loaded so you know you get the correct count.

What if I cannot be there to pick up my cookies but someone else can?

  • With Mega Drop falling on a holiday weekend this year, we completely understand if you cannot make it! If you are able to have someone else pick up your cookies please fill out the Cookie Pick Up Authorization form from our website. You and the person picking up will need to sign the form and make sure that the person picking up has their Drivers License at Mega Drop.

What should I receive when I leave the Mega Drop?

  • Besides all of the amazing cookies that you will be picking up you will also be receiving a copy of the receipt that you have signed (sometimes called a DOT or BUBBLE sheet), a receipt book, and a few papers about upcoming council items.

What happens if I miss my pick up time?

  • We understand that things come up during the day, maybe you got stuck in traffic, got off work late, or even got caught in line running errands! If you miss your time on the 17th please come as soon as you can on the 17th. We will do our best to squeeze you in but you may need to wait until there is a break in the line.
  • If you miss Mega Drop entirely you will need to email customerservice@girlscoutsnv.org and we will help you make an appointment for the next available pick-up day and time.

What will the Mega Drop site look like?

  • A map of the location and the traffic flow will be provided here by tomorrow (2/13) for all of you to see.

2018 Week 6 Cookie Update

Congratulations team! We’ve made it to MegaDrop week!

As we all finalize details so we are ready to receive our precious cookies this week, I wanted to pop in and answer a few repeat questions we’ve seen come in via email.

Opt-out Requests

We have processed all of the opt-out request forms that we received. In total, 30 troops requested to opt-out. We were able to approve 22 of them and they are currently updated in eBudde. Three troops had girls in their troop younger than 4th grade for Membership Year 2018, two were missing signatures, and three had girls listed on the form that were not in their troop in eBudde. If you are one of the eight troops that we were not able to approve right away, someone from council will be contacting you tomorrow (2/12) to clarify. By Tuesday morning, if you feel that you submitted an opt-out request but do not see it in eBudde and have not heard from anyone at council, please email customerservice@girlscoutsnv.org and we’ll be happy to investigate for you.


Remaining Cookie Season Forms (Including Me and My Guy Form)

  • GSSNV Booth Inventory form to use at Cookie Booths
  • Me and My Guy Form
  • Troop to Troop Transfer of Responsibility Form

The above forms have been loaded to our website, but are not yet loaded here to Cookie Corner. GSUSA is having some issues with the forms and documents section of our website and we cannot access any of those forms at this time. We are expecting to hear back from the tech team at the National office by tomorrow afternoon (2/12). We will update this post when the forms are available.

  • Smith’s Authorization Letter from the Corporate/District Offices
  • WalMart’s Authorization Lettter from the Corporte/District Offices
  • Smith’s Booth Inventory Sheet listing all the Smith’s by their Store #’s.

These forms are either being finalized by GSSNV or by the respective community partner. We are hoping to have these forms up by Friday, 2/16.


Adding Booths to eBudde

As of now, we believe that every booth authorization we’ve been sent is in eBudde. If there is one that you acquired that is not showing in the system, or if you acquire a new one before the sale ends, please fill out the following form so we can get it added to eBudde as soon as possible.

Happy Saturday everyone!

I just wanted to let everyone know that there is a slight delay in entering the approved opt-out forms into eBudde. We were hoping to have them in by yesterday afternoon (2/9), but were unable to finish reviewing them. We know how important these are to those that submitted, so we are hoping to have them entered into eBudde by tomorrow morning (2/11).

Going forward, as of the posting of this message, we will be utilizing the GSSNV Member Support only for member-to-member, troop or girl sharing, until the group is phased out on March 22, 2018. We understand that the group led solely by volunteers, https://www.facebook.com/groups/1895549597353868/ is available for you to join immediately. We recommend for member-to-member or troop-to-troop sharing, that you request to join this group.

Any questions, concerns or ideas for GSSNV council staff, including those to the CEO, to answer on any operational issue must be submitted through customerservice@girlscoutsnv.org.

The way in which we have been doing business on this page to handle individual issues, is not working and is not sustainable, and as such has led to a level of discourse on this site which is routinely not in keeping with the spirit of the Girl Scout Promise nor Law. In addition, many of your questions are often embedded in a 30-50 or more, comment thread under one post requiring additional time to discover your questions.

In the future, if we see several cases come in to customer service for an issue, we can then communicate back in an orderly and complete fashion to everyone. Everyone will have the opportunity to then see the same response to a question at the same time. More importantly, the system allows us to document your emails and calls, and to manage the case notes from one staff member to another.

Good morning team cookie!

We are ramping up for MegaDrop and I wanted to reach out with a few quick updates based on emails that we’ve received.

Booth Erros in eBudde:

As a few of you have seen, there were four booths with either duplicates or wrong times. These booths were corrected in the system last week, but we were advised at the end of the week that these corrections were not visible to troop leaders. After some testing, we were able to get these corrections published to troops late last night. If two people selected the same time and location, the people who selected second were contacted and we offered to assist in finding them replacement selections. If you are a leader in one of these locations and you were not contacted by me, then you selected first and should still have that spot in eBudde.


Booth Swaps:

Some troop leaders have seen how quickly a booth can be taken when released back into the selection system (especially if it is a high-traffic booth). Because of this, swapping booths can be challenging. If you and another troop want to swap booth locations, please email customerservice@girlscoutsnv.org so we can swap them for you and not risk losing them.


Delivery Stations:

For those of you hosting Service Unit pick-ups, we have received a few requests for information about the number of cases per pallet that will be delivered. Cookie Cupboard Planned Orders (formally called “re-orders”):

A few volunteers have asked us how they get more cookies once their initial order is gone. This is great! The Cookie Cupboard will be open staring on 2/23 for troop leaders and cookie managers to place planned orders for additional cookies. These cookies need to be ordered in full cases and the delivery agent (Berger) needs them submitted in eBudde 24-business-hours in advance so they have time to prepare the order. For example, if you would like to pick-up on a Tuesday, the deadline to submit your order into eBudde would be 8:59 am on the previous Monday. The warehouse considers Saturday a business day, so if you would like to pick-up on a Monday, the deadline to submit your order into eBudde would be 8:59 am on the previous Saturday. This chart can be used as a guideline for when your order will be available:

Hello amazing cookie folks!

We have a few updates for you as we await our cookies to arrive from the baker!

SongFest Jamboree:

We are excited to announce that the new overnight option for our girls this summer, SongFest Jamboree, can be paid for using the free session of camp girls earn as part of the Grand Cookie Club! Because we do not currently know who will be in the Grand Cookie Club, this registration option will not appear until after the sale concludes.


Recognition opt-out:

Thank you so much to everyone who turned in their Opt Out Forms! We are in the process of reviewing all of the opt-outs and the confirmation will be put in eBudde by close of business on 2/9/2018. If anyone has questions about their opt out form please reach out to us at customerservice@girlscoutsnv.org


Booth Documents and Resources:

We have had requests for the following documents to be uploaded to our website:

  • Smith’s Authorization Letter from the Corporate/District Offices
  • WalMart’s Authorization Lettter from the Corporte/District Offices
  • Troop to Troop Transfer of Responsibility Form
  • Smith’s Booth Inventory Sheet listing all the Smith’s by their Store #’s.
  • GSSNV Booth Inventory form to use at Cookie Booths

We will have all of these forms uploaded by Friday (2/9) with the exception of the Smiths/WalMart authorization letter and Smiths booth inventory sheet. These forms are coming from the vendors and they have advised us that they will release these closer to the start of booth sales.


Initial order Pick up:

If you were one of the ten troops that didn’t select a initial order pick-up time before it closed, please email the time and date that you see open in eBudde and we will add you manually.
